Terms of Service

These Terms of Service apply to inci-vault.com, everything sold on it, and the free tools on it, including the Formula Costing Card. "INCI-VAULT," "we," "us," and "our" mean INCI-VAULT of Collierville, Tennessee. By using the site, creating an account, signing up for email, or placing an order, you agree to these terms. If you don't agree, please don't use the site.

You must be at least 18 years old, or the age of majority where you live, to place an order. If you order for a business, you confirm you are allowed to accept these terms for that business.

INCI-VAULT sells cosmetic raw materials, such as butters, oils, emollients, pigments, and other ingredients, for people and businesses who make their own products. They are ingredients, not finished consumer products.

When you use our ingredients in your own products, you are responsible for:

• The safety, testing, and stability of your formulas and finished products.
• Following the laws that apply to what you make and sell, including U.S. FDA cosmetic rules and labeling requirements.
• Using each ingredient within its recommended use levels and following its Safety Data Sheet.
• Patch testing and other checks appropriate for your customers.

Natural ingredients can vary from lot to lot in color, scent, and texture. Natural butters may soften or change texture if they melt in transit. They can usually be warmed, mixed, and cooled quickly to set smoother.

We work to keep product descriptions, Certificates of Analysis, Specification Sheets, and Safety Data Sheets accurate. They describe a lot or a typical specification, are provided for your information, and may change between lots. Please check the documents for the lot you receive. Nothing on this site is medical, legal, or regulatory advice.

There is no minimum order. You can order on our website, by phone at +1 901-286-7893, or by email at support@INCI-VAULT.com. For phone and email orders, please include the product, size, quantity, and your complete shipping and contact details.

We can't reserve or choose specific lots. Our ingredients ship with good remaining shelf life, which lasts longest in the original sealed packaging under the recommended storage conditions.

If an item sells out after you order, we will contact you to back-order it, swap it, or refund it. Back-orders are not created automatically.

Special and bulk orders are sourced just for you. They take extra lead time, and the price or pack size can change. If that happens, we will contact you within 2–3 business days with your options. Once we place a special order with our supplier, it can't be cancelled, returned, or refunded.

Prices are in U.S. dollars, can change with market costs, and do not include sales tax or shipping. We may correct errors in prices or descriptions, and we may limit, refuse, or cancel an order, including after it is placed. If we cancel an order you already paid for, we will refund you. Your order is accepted when it ships.

Pay with any method shown at checkout. Payments are processed securely through Shopify and our payment providers. We may decline a payment or ask for a different payment method.

If your card is declined, your bank may still place a temporary hold on the funds. This is not a charge, and your bank releases it, usually within a few days. To avoid more holds, please don't keep retrying a declined card.

Sales tax is calculated at checkout based on where your order ships. We don't currently accept resale or tax-exempt certificates. If tax should have been charged and wasn't, we may collect it later.

Promotion start and end times are in Central Time. Unless a promotion says otherwise, it can't be combined with other offers, lasts only while supplies last, can't be applied to past orders, and excludes special and bulk orders.

We ship with major carriers within the U.S. and internationally. Shipping shown at checkout is an estimate, and the final packed weight can differ.

Title and risk of loss pass to you when the carrier receives your package. If a package is lost or damaged in transit, we will help track it, file a claim with the carrier, and let you know the outcome.

For international orders, you are the importer. You are responsible for duties, taxes, customs fees, and any import registration your country requires.

Please check your order as soon as it arrives. Report wrong, missing, or damaged items within 3 business days of delivery. Include your order number and clear photos. For damage, keep the box and packing materials until the issue is resolved. We will replace or refund as described in our Refund Policy. After 3 business days, the sale is final.

Because our ingredients are sensitive raw materials meant for formulating, all sales are final once shipped and we don't accept returns. See our Refund Policy, which is part of these terms.

Our products are sold for personal, professional, and business use, including making and selling your own finished products. You may not repackage or resell our ingredients under the INCI-VAULT name. You also may not use our name, logo, or product names, such as IV Superior Shea™, to market your products without our written permission. We may cancel or limit orders we believe are meant for unauthorized resale.

We offer free educational tools, such as the Formula Costing Card, to help you estimate costs and prices. They are provided "as is."

• Estimates only. Suggested prices, margins, and profits are calculated only from the numbers you enter. They are not financial, accounting, or business advice and do not guarantee profit. Your results also depend on your other costs, demand, and competition.
• Check your numbers. You are responsible for the information you enter and for the pricing decisions you make.
• Your formulas stay with you. The Formula Costing Card runs in your browser. We do not receive, save, or store the formulas, ingredient costs, or pricing you enter. When you close or refresh the page, that information is cleared. Print or download your report if you want to keep it.
• Access. Some tools are free for INCI-VAULT email subscribers. We may change, pause, or stop offering any tool at any time.

If you agree to receive marketing emails, for example to use the Formula Costing Card, we may send product updates, educational resources, special offers, and promotions. You can unsubscribe at any time with the link in any marketing email. We handle your email address as described in our Privacy Policy.

You may sign in with a one-time code sent to your email. Keep access to your email account secure. You are responsible for activity under your account.

The site's text, articles, graphics, logos, product photos, documents, and tools belong to INCI-VAULT or its licensors. INCI-VAULT® and our product names are our trademarks. You may use our content for your own formulating and purchasing. You may not copy, resell, or republish it without our written permission.

You agree not to:

• Break any law while using the site or our products.
• Interfere with the site's security or operation, or try to get around access controls.
• Use bots or scrapers to copy the site or its content.
• Give false information or place fraudulent orders.

We stand behind the identity and quality of our products as described in their documents. Beyond that, the site, our tools, and our products are provided "as is" and "as available." To the fullest extent the law allows, we disclaim all other warranties, including warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not promise that any ingredient will suit your formula or that the site will always be available or error-free.

To the fullest extent the law allows, INCI-VAULT is not liable for indirect, incidental, special, or consequential damages, or for lost profits, arising from the site, our tools, or our products. This includes damages related to products you make with our ingredients. Our total liability for any claim is limited to the amount you paid us for the product involved in that claim.

You agree to cover INCI-VAULT's losses and reasonable legal costs from claims caused by your breach of these terms, your misuse of the site, or the products you make, label, and sell.

These terms are governed by the laws of the State of Tennessee, without regard to conflict-of-law rules. Any dispute will be handled in the state or federal courts located in Shelby County, Tennessee.

If a court finds any part of these terms unenforceable, the rest stays in effect.

We may update these terms from time to time. The updated version takes effect when it is posted on this page. Orders already placed are governed by the terms in effect when you ordered.
